Job Description
We are looking to hire an Event Marketing Manager to join our Field Marketing team. This person will build immersive brand experiences through live and virtual events, driving demand and building brand exposure.
You will own the relationship and communications regarding conferences with associations and organizations, along with the vendors that support our presence, as well as the company tradeshow calendar, conference budgets, post-event reporting, and implementation of the events and tradeshow process/logistics. You will team up with field marketing and product marketing to ensure all pre-and post-event communications are managed to ensure company stakeholders are prepped and ready to maximize the company investment.
This role will suit an organized, self-motivated, pragmatic, and cross-functional team player who can work collaboratively. Time management and prioritization skills will be crucial as it is a fast-paced role that requires you to juggle many balls in the air at one time.
Aidoc is a remote-first company, but you should be prepared to travel as needed to prepare for conferences and to work the shows.
Responsibilities
Event Pre-Planning: Cross-departmental and external logistics coordination for event planning: Lead all pre-planning activities, including contract signing, staff registration and “know before you go” planning, manage all logistics such as show services, shipping, accommodations, securing venues and more. Compile and deliver comprehensive reports on pre-planning activities, tracking all tasks to completion and providing updates to relevant stakeholders.
Collaboration: Report to the S. Marketing Manager to ensure alignment with broader event strategies. Collaborate with the marketing team on developing and executing assets for the event. Work with the creative services, and other cross-functional business groups on the creation of show materials, including content, booth design, and more.
On-Site Management: Arrive early on-site to ensure everything is set up and ready, with particular attention to the booth's appearance and functionality.Prep the staff, ensuring they understand the event goals, are familiar with their roles, and are punctual at the booth. Oversee the booth's operations, including greeting attendees, scanning badges, and checking in guests for pre-booked meetings. Serve as the primary point of contact on-site, including at VIP dinner events, ensuring everything runs smoothly. Be the last to leave, ensuring all activities are completed and the event is concluded successfully.
Event Calendar Management: Manage the event calendar, coordinating with target employees to ensure the plans and attendance at events. Serve as the primary point of contact for all event-related inquiries and logistics.
Budget Management: Assist with planning and tracking budget spending, ensuring that all expenses align with the approved budget. Manage vendor relationships to secure the best possible outcomes for marketing efforts. Act as a liaison between marketing and
We Expect You To
2-3+ years of professional or internship experience in marketing logistics & event management including tradeshows and sponsored customer/employee events.
Detailed oriented with a strong focus on delighting external and internal stakeholders through the delivery of quality events that meet business and budget expectations.
Strong organizational skills, particularly in task management and documentation, ensuring all aspects of event planning and execution are well-coordinated and documented.
Excellent collaboration skills, with the ability to work effectively with cross-functional teams, including the growth field marketing team, creative services, and other business groups.
Demonstrated ability to manage budgets, track spending, and work with vendors to achieve event goals.
Exceptional communication skills, both verbal and written, with the ability to manage pre-and post-event communications effectively.
Ability to manage multiple tasks simultaneously and work under tight deadlines.
Strong attention to detail and a proactive approach to problem-solving.
Willingness to travel 20-30% to manage onsite presence and success of events and conferences.
Solid understanding of marketing operations tools, including (list program platforms)
